At CommunityOS ("We", "Us", or "Our"), we prioritize your privacy. This Privacy Policy details how we collect, use, and protect the personal data of residents using the ezegate application. We operate in compliance with the Digital Personal Data Protection (DPDP) Act and are ISO 27001 ready.

1. Information We Collect

A. Information Provided by You:

  • Profile Data: Name, mobile number, email address, profile photo.
  • Unit & Occupancy Data: Block, floor, unit number, occupancy status (Owner/Tenant), and family member details.
  • Lease Details: For tenants, lease start and end dates, and uploaded rental agreements.
  • Vehicles & Assets: Vehicle registration numbers and details for parking management.

B. Information Collected via Usage:

  • Financial Data: Payment history, invoice/receipt records, and UPI Autopay mandate statuses (Note: We do not store full bank account or credit card numbers; these are handled directly by Razorpay).
  • Interactions: Support tickets raised, amenity booking slots, poll votes, and marketplace listings.
  • Device Information: IP address, device type, OS version, and Firebase Cloud Messaging (FCM) tokens for push notifications.

C. AI & OCR Data Extraction:

When you use our "Scan with AI" features (powered by Gemini), the app processes images to extract text.

  • If you scan an ID Document (e.g., Aadhaar), the system automatically masks the middle 8 digits before storing any data.
  • User review is always required before saving extracted data.

2. How We Use Your Information

We use your data solely to provide the services requested by you and your Resident Welfare Association (RWA):

  • To verify your identity via OTP and secure sessions via httpOnly cookies.
  • To notify you of visitors at the gate and track pre-registered guest approvals.
  • To generate your maintenance invoices, utility bills, and process payments.
  • To deliver important society announcements and ticket updates via push notifications, email, or SMS.

3. Information Sharing

We do not sell or trade your data. Your information is shared only as follows:

  • With your RWA/Committee: As the primary data controller, your RWA has access to your profile, billing, and interaction data to manage the society.
  • With Third-Party Service Providers: We use trusted, contractually bound partners for hosting (E2E/AWS), AI extraction (Gemini), payments (Razorpay), and communications (Firebase, SMS gateways).
  • Unified Directory: To avoid duplicate profiles across the CommunityOS platform, your phone number and existing roles may be visible to Super Admins when adding you to a new society.

4. Data Security

  • All communications are secured using HTTPS/TLS encryption.
  • Data is encrypted at rest within our cloud infrastructure.
  • Access to your data by RWA members is strictly governed by Role-Based Access Control (RBAC), meaning an accountant cannot view your private tickets, and a security guard cannot view your invoices.

5. Data Retention and Your Rights

  • Data Retention: We retain your data for as long as you are a resident in the society.
  • Right to be Forgotten: You may delete your account through the app (Profile → Account → Delete my account). Your personal identifiers (name, email) will be anonymized. However, historical audit logs and financial transactions will be immutably retained as required by law and accounting standards.
  • Correction: You may update your profile data at any time via the app or by requesting your RWA.
